About the Role
The Enrollment Coordinator plays a critical role in the growth of our organization. The ideal candidate is customer-service oriented individual with a positive attitude, who loves helping others and guiding them to the right place.
The Enrollment Coordinator manages new customer inquiries, connecting with prospects, and coordinating appointments for our Enrollment Team. This position focuses on quick follow up with info requests, qualifying leads, scheduling discovery calls, and confirming appointments to ensure a seamless experience for potential clients.
Responsibilities
- Promptly call and follow up with all new opt-ins and inbound leads via call, email & text.
- Qualify prospects based on established criteria to ensure a good fit.
- Set and schedule discovery calls between qualified leads and the appropriate enrollment advisor
- Confirm all scheduled appointments via phone, text, and/or email to maximize show-up rates.
- Maintain accurate and organized records of all communication and appointment scheduling in the CRM system.
- Communicate clearly and professionally with leads, providing a positive first impression of our brand.
- Collaborate with the Enrollment Team to ensure smooth hand-offs and updates.
- Manage a consistent daily/weekly call volume and follow-up schedule to hit key performance metrics.
- Identify and troubleshoot any gaps or issues in the lead-nurturing and appointment-scheduling process.
Experience and Qualifications
Required:
- Proven experience in customer service, sales support, or appointment scheduling (experience in enrollment/sales environments preferred).
- Excellent phone communication and interpersonal skills.
- Highly organized, detail-oriented, and able to manage multiple tasks simultaneously.
- Self-motivated with a proactive approach to lead management and follow-up.
- Comfortable using CRM software and other communication tools.
- Ability to handle objections and guide prospects toward scheduled appointments without being pushy.
- A strong team player who thrives in a fast-paced, results-driven environment.
Key Performance Indicators (KPIs):
- Speed to lead (time to first contact after opt-in)
- Number of discovery calls booked per week
- Show-up rate for scheduled appointments
- Overall lead conversion to discovery call ratio
